Position Summary:

The primary responsibility of this position is to add cataloging records for all new library materials into two major computer systems: the state-wide consortial online catalog (I-Share) and the world-wide OCLC (Online Computer Library Catalog) shared cataloging database. With great attention to detail and accuracy the Cataloging Associate adds and edits records for materials of various formats to these systems using the OCLC and Voyager software.  In addition, the Cataloging Associate assists the Electronic Resources/Technical Services Coordinator with various database clean-up projects, the supervision of a student assistant, and other aspects of the day-to-day operation of the Cataloging Unit of Staley Library.

Position Responsibilities:

  • Copy cataloging all library materials of various formats, including both print and non-print materials, using OCLC and Voyager software to add items to our online catalog. Very close attention is paid to accuracy and discrepancies of the information provided by the Library of Congress when adding our holding to records in the system.  Various types of materials are added in this manner such as books, music compact discs, music scores, records, CD-ROMs, videos, cassettes, standing orders, curriculum materials etc. These items are added in a timely manner so our library users will have access to new materials as soon as possible.
  • Additional responsibilities include all catalog database maintenance. This would include all standing order additions, deletions of items from our collection, changes to exsisting records such as location, call number, barcode or copy number. 
  • Responsible for the periodic checking of and resolving the problem areas in the online catalog  that the ILCSO (Illinois Library Computer Systems Organization) office in Champaign brings to our attention through  FTP regular reports.
  • Check all newly processed items for accuracy of labeling as well as get them ready to go out on the New Book Shelf.
  • Maintain the timely rotation of new materials on the New Book Shelf with the help of a student assistant. Supervise the various projects that they perform in the library including the summer inventory project and the filing of new shelf cards.
  • When necessary, do  basic original cataloging on new items that come in to our library.
  • Make an effort to catalog all gift materials given to the University as time permits.  
  • Maintain computerized and/or manual records, including statistics, related to the cataloging performances completed using both OCLC and Illinet Online databases.
  • Assist the Catalog Librarian and any other library personnel with other tasks and projects as needed.
  • Attend regularly scheduled library staff meetings.
  • Within parameters of position responsibilities, propose new or changed policies and procedures to accomplish own responsibilities, related operations, and Library mission.
  • Support overall Library operations and services through projects and other duties as appropriate and assigned. Actively supports Library colleagues, Library service goals, and University mission.   
Requirements:
  • Two years of college or equivalent minimum: college degree preferred.
  • Work experience in library and/or academic setting desirable.
  • Familiarity with library cataloging preferable.
  • Ability to interpret cataloging rules and follow detailed procedures. 
  • Willingness to learn new skills.
  • Ability to work well with others and to assist users served by the Staley Library.
  • Comfort with varied pace and working independently.
  • Experience using computers, and library databases preferred.
  • Timely, meticulous and thorough with multiple details.
  • Good interpersonal, verbal and written skills important.
  • Service orientation is essential.  
  • Flexible and comfortable with change; reliable.
