Position Summary:
Working with a mix of computerized and manual records, the Periodicals Associate is responsible for those library record-keeping processes that result in the timely and accurate new and ongoing subscriptions for print periodicals, microfilm, newspapers, and newspaper indexes. Duties include checking-in and maintaining the library’s periodicals collection, updating holdings records, and processing print periodicals for the bindery process. Providing reports for periodicals budget expenditures for library managers including the Library Director, as assigned.
Position Responsibilities:
- Receive, record, prepare for public use, and shelve all print periodicals, microfilm, newspapers, newspaper indexes, and some standing order titles.
- Prepare purchase orders and renewal lists for new and continuing subscriptions.
- Verify invoices and send to Business Office for payment.
- Identify and record missing issues of periodicals and contact vendors for replacement.
- Collect, record, package, and transport periodicals to be sent to the bindery.
- Record receipt, verify accuracy, stamp, sensitize, and shelve newly hardbound periodicals after their return from the bindery.
- Maintain periodical holdings records for Serials of Illinois Libraries Online (SILO) – a shared statewide database of Illinois library periodical holdings.
- Update Access database for periodicals holdings data, i.e. new titles, superceding titles, discontinued titles, etc. This file is the basis of the library’s discipline-specific periodicals web pages.
- Communicate with ILCSO (Illinois Library Computer Systems Organization) regarding discrepancies in serials records in ILLINET (the Library's consortial online catalog).
- Work in collaboration with other library staff members for varying tasks, with particularly close teamwork with Acquisitions Associate/Office Manager and Cataloging Associate.
- Supervise up to two student employees.
- Attend regularly scheduled library staff meetings.
- Within parameters of position responsibilities, propose new or changed policies and procedures to accomplish own responsibilities, related operations, and Library Mission.
- Support overall Library operations and services through projects and other duties as appropriate and assigned. Actively supports Library colleagues, Library services goals, and University Mission.
Requirements:
- Two years of college or equivalent minimum: college degree preferred.
- Work experience in library preferred, and in an academic setting desirable.
- Computer proficiency required, preferably including working experience with library automation.
- Experience in library technical services is desirable.
- Good interpersonal, verbal, and written skills important. Service orientation essential.
- Demonstrated willingness to learn new things.
- Comfort with overlapping tasks and deadlines, and change.
- Must be able to learn multiple computer programs.
- Supervisory skills of student employees necessary.
- Precision and attention to detail are essential.
