Guided by student development theory and an eight-dimension student wellness framework, the coordinator is responsible for creating student experiences that promote positive academic, retention, graduation, placement, personal satisfaction, and other outcomes by planning, implementing, and evaluating programs, activities, and events that engage and develop students from orientation to degree or program completion. This is a live-on position.
The position requires high student contact, high visibility and presence at student events, and supervision at frequent evening, late-night, and weekend events. The position requires predictable evening and weekend hours to supervise or participate in student, staff, and University programs, events, services, and experiences.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
Position Specific Responsibilities
- Overseeing student experience ambassadors and other student staff (e.g., recruit, hire, mentor, and supervise undergraduate and graduate student employees; delegate work assignments; ensure professional development; handle personnel actions; etc.).
- Planning and implementing signature student experiences, programming, and events (e.g., evening and late-night programming, Heritage Programming, etc.).
- Expanding and increasing the effectiveness of registered student organizations (e.g., registering organizations; budgeting; monitoring RSO expenditures; event planning, registration, and approvals; training and leadership development; risk management; writing and enforcing policies and procedures; helping student organizations find advisors; training advisors and student leaders; acting as advisor for organizations without advisors; coaching; etc.).
- Assisting RSOs with preparing and editing student flyers, posters, literature and other materials prepared by student groups for on and off-campus distribution including implementing and overseeing processes for posting/distributing of materials on campus as requested.
- Advising the campus programming board (e.g., attend and supervise programming board meetings; attend and supervise the major UCB events and functions; supervise elections of board members; monitor expenditures; oversee planning for the late-night pancake event and the large-scale bi-annual “The Spring Big Event,” etc.).
- Maintaining accurate records of all student activities events including number and types of activities, event proposals, budgets, contacts, contracts, media/publicity, evaluations, etc.).
- Maintaining and publishing regularly an up-to-date calendar of activities and events that is made readily available to all students and campus community.
- Coordinating campus volunteer programs; maintaining accurate records of all volunteer programs that student organizations sponsor, co-sponsor, and/or participate in on behalf of the University.
- Coordinating travel arrangements for student related travel in accordance with policies and procedures.
- Participating in the Student Affairs emergency on-call rotation efforts.
- Serving as acting coordinator of leadership development in the absence of that coordinator.
Core Student Affairs Responsibilities
- Promoting Inclusion, Diversity, Equity, Accessibility, and Sense of Belonging (e.g., foster welcoming environment; participate in and ensure staff participation in appropriate training and professional development; ensure accessibility to services; promote inclusive excellence in programming and service delivery; report policy, legal, and regulatory violations; etc.).
- Completing routine administrative functions as appropriate (e.g., budgeting, report-writing, strategic planning, record-keeping, data collection and management, developing policies and procedures, and evaluation and assessments related to student outcomes and program effectiveness).
- Implementing customer feedback processes to ensure concerns are addressed and improvements are considered.
- Assisting colleagues with planning and programming related to signature campus events (e.g., Orientation and Registration Days; Convocations and commencements; Family Weekend and Homecoming; Student Welcome Week; Involvement Fairs; Cookie Event Tradition; Career Fairs; etc.).
- Collaborating and partnering with campus offices to achieve student success metrics such as retention, engagement, graduation, and placement.
- Serving on appropriate university or community committees, councils, and boards as recommended by the supervisor or University President.
- Participating in student recruitment and providing positive student experiences leading to retention and other student success outcomes.
- Implementing emergency communication plans and protocols which includes providing direction, oversight, guidance, and support as needed in emergency or crisis situations.
- Seeking and proposing opportunities for ongoing appropriate professional development for self and, if applicable, reporting staff.
- Communicating effectively university and department goals, achievements, challenges, solutions, practices, changes, and consistently enforcing all policies and regulations.
- Maintaining high ethical standards and integrity by conducting all operations professionally, including acting in accordance with all Millikin University policies and procedures.
- Performing other mission-critical and job-related duties as assigned based on operational need
SUPERVISORY RESPONSIBILITIES
This position assists with supervising undergraduate and graduate student employees as budget resources allow.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to succeed in a results-driven professional organization. Transferable skills from relevant experiences in education, not-for-profit, business, or other industries and fields will be considered. Additional qualifications specific to this position are below:
Education and/or Experience
Required: Bachelor’s degree from an accredited institution. Valid U.S. driver’s license is required.
Preferred
- Master’s degree from an accredited institution.
- At least two years of direct or transferable experience. Graduate Assistantships, Internships, and Practical experiences will count as half-year (.50) time.
- Experiences in a college or university setting.
- Experience supervising students or professional staff at any level.
- Experience using events management or scheduling software or database platforms (e.g., Millikin uses 25Live and new platforms are being developed).
- Experience applying wellness, student development, advising, and/or trauma-informed practices in service-delivery.
